Security Access Next Steps

I submitted my form online - Now What?

Thank you for submitting the form online.  The next step is different for cellphone access and fob access.


Cellphone - if you requested cellphone access you will receive an email to download an application to your phone to get access.  See below for more information on how to do this.


Fob - if you requested a fob you need to come pickup the fob.  See below for more information on times and places to pickup your fob.

I mailed in my form for security access - what is next for me?

You must complete your form online using the links on this website.  Without that form filled out online, you cannot be added to the security system.

What will my cellphone or fob open?

Once you have setup your cellphone or received your fob it will immediately begin opening the access points (gates, doors, etc.) for which you have been granted access.  Remember, we are implementing access in phases.  This is only the first phase of access and you may have additional access granted in the future.


Granting access is based upon the Owner's Association associated with your property.

  • BPPOA property owners - access has been granted to the Guard Gate and the Clubhouse
  • Cottages property owners - access has been granted to the Guard Gate and the Clubhouse
  • Condo property owners - access has been granted to the Guard Gate
  • HLPOA property owners - access has been granted to the Guard Gate

If you own property in more than one Owner's Association you will be granted access to all areas covered in both of the Owner's Association (for example: if you own a Condo and a Cottage, you have access to everything the Condos have access to as well as everything the Cottages can access.).  


Please let us know if you have property in more than one Owners Association.  We are not able to identify everyone with property in more than one Owners Association and want to be sure we have everyone's access correct.

How do I access the pool?

Everyone must fill out a pool agreement.  As you may be aware a "Pool Usage Fee" has been implemented this year.  Each year in the future the board will set the Pool Usage Fee in March for the upcoming pool season.


The board voted that if a property owner donated to the 2026 Pool Refurbishment they are not required to pay the Pool Usage Fee for 2026 only.  There is a place on the form to indicate that you donated to the pool in 2026.


If you did not donate to the pool then your form should be returned with a check for $160 (the 2026 pool season Pool Usage Fee) made out to Bear Paw Service District for the pool usage fee.

How do I Set up my Cellphone?

If you requested access be made via a cellphone you will receive an email to setup your access.  The email will come from: alta.avigilon.com with a subject line of "Unlock doors at Bear Paw Service District".


Be sure to check your "Spam" folder if you do not see this email in your Inbox.


The email directs you to download an app so you have it on your phone.  You then click another place in the email and your access will be setup.


There will be help to setup cellphones available during the pick-up times for the fobs.  See the note below for those pick-up times.

When can I Pick up my fob?

Fobs are being programmed as the requests are received.  There is a larger demand for fobs than was anticipated, so more fobs have been ordered.  Once the fobs are received, they will be programmed as soon as possible.


The following times have been set aside to pick-up fobs or get help with getting access setup on your cellphone.

  • May 10th from 10am to noon at the Clubhouse (UPDATE - Fobs and Cellphone help)
  • May 16th from 10am to noon at the Clubhouse (Fobs and Cellphone help)
  • May 24th from 10am to noon at the Clubhhouse (Fobs and Cellphone help)

More dates will be added to pick-up fobs and get help in the future. 

Do I need to test my access?

Yes, we recommend everyone test their access to be sure it is working.  Below are instructions to test your access.


Gate Access Test

  • Test your access to the gate by going to the Guard Gate after 10pm and holding either your cellphone or fob up to the reader.  The reader is on the left side of the entrance road about 10-15 feet before you reach the Guard House.  It is a black square on a black pole with a black rectangle and a keypad.
  • You hold your cellphone or fob up to the black square on the reader, until the reader displays a white circle that is spinning.  This means the system is validating your access.  Once access is granted, a white dot will display on the reader and the gate will open.


Clubhouse and all other Access Point Testing

  • Test access to all other entrances by locating a black rectangular box outside the entry you are trying to open.  The black rectangular box is approximately 3 inches wide by 4 inches tall and is mounted to the exterior of the area being entered.  The box will display a red dot if the entry is locked.
  • Hold your cellphone or fob up to the black box until the reader displays a white circle that is spinning.  This means the system is validating your access.  Once access is granted, a white dot will display on the reader and you can open the door.

At this time only the door to the Clubhouse from the Pavilion and the door to the bathroom have readers.  While you can test your access with the readers, the readers will not prevent access to the Clubhouse at this time.  You may still access the Clubhouse with a code or a key until signs are up specifying that only the access fob or cellphone will work to open the door.

What if I have a problem getting access?

If you have difficulty getting access at the gate to work, be sure you are trying it between the hours of 10pm and 6am.  That is the only time you have to use your cellphone or fob to enter the gate.  If you try to use your cellphone or fob any other time it will not work.


If you have difficulty entering another entry point be sure you are trying it during the appropriate timeframe.  Once your cellphone or fob are required to enter any access point a sign will be posted indicating that the cellphone or fob is required.


If you have confirmed that you are at the correct time to test your access and it still does not work, please fill out a "Contact Us" form at the bottom of the home screen of the bearpawnc.com website to explain your access issue.
